Inventory and Assets
To get started, you need to add an Asset Type. Navigate to your Administration Tab and select Asset Types from the Asset Tracking menu. This step is crucial as it sets the foundation for managing the different categories of assets you will be handling.
Next, click on the option labeled Add new asset type. You will be prompted to fill in the necessary fields, which may include details such as the name and description of the asset type. After you have entered all the required information, make sure to click the Save button to ensure that your new asset type is recorded in the system.
After successfully creating your Asset Types, the next step is to add your Inventory Items. Again, head over to the Administration Tab and select Inventory from the Asset Tracking menu. This step is essential for tracking the specific items that fall under the asset types you have just created.
Once you are in the Inventory section, click on Add new Inventory item. Similar to the previous step, you will need to fill in the required fields with relevant information about the inventory item, such as its name, description, and any other pertinent details. After completing the form, remember to click Save to finalize the addition of your new inventory item.
With your inventory item now created, you are prepared to assign or check out the Asset to a student. Locate the student to whom you wish to check out the inventory item by searching for their name. Once you find the right student, click on their profile and select Assets from the left navigation menu on the student’s main page. This will take you to the section where you can manage the assets associated with that student.
From this section, you can check items in or out based on their availability. It is important to note that only items marked as Available will be displayed in the list for checkout. This helps ensure that students can only check out items that are currently in stock.
After successfully checking out or assigning the inventory item to the student, you may also want to track the Shipping of the item. If the inventory item needs to be shipped to a student who is located remotely, navigate to your Reports Tab and select Shipment Report under the Asset Tracking Menu. This will allow you to keep track of items that are in transit.
In the Shipment Report section, you can select the checkbox next to the items that you wish to ship and then choose the option Set to Shipped. This action will update the inventory report to reflect that these items have been shipped, ensuring that your records are accurate and up-to-date.
