As we have described in other articles throughout this Knowledge Base, classifying your users through the use of Affiliations is one of the best ways to save time and make managing your learning initiative with Genius easier. The first step to do this is to create Affiliations. In this article, we will describe the steps required to create an Affiliation. We will also describe how to nest Affiliations within each other, and how to find Affiliations once you have created them – allowing you to manage the groups under which you can classify your users with ease.
Creating an Affiliation
To create an affiliation, simply click on the Affiliations tab in the Genius Admin screen:
This will immediately show all active affiliations in your instance of Genius. You can then click on an affiliation to enter its Profile Page. To learn more about an affiliation's Profile Page, please visit the Managing Affiliations article.
To create an affiliation, simply click on the Add Affiliations button on the sidebar:
The Create Affiliations screen appears. In the Create Affiliation tab, you will be able to define the name of the affiliation, the contact name, the contact email, and other details for the Affiliation. You can also customize the profile page for each Affiliation and add (or remove) custom fields[link: custom fields] as required to better manage your organization's learning initiative.
In Genius, fields marked with yellow are required fields. Fields that are marked in White are not required. When you add a custom field to an affiliation's Profile Page, you can define that field to be a required or optional data field. In general, if your organization has a lot of affiliations, we recommend that you add more fields and in general structured, curated data (e.g. fields that are filled by using a drop-down menu as opposed to a text entry) that can help you filter through these affiliations and quickly find the information you need.
We create the affiliation and call it "Test Affiliation", and click the Save button to confirm our selection. Genius will confirm this action in the Main Page of the Administrator's interface. All we do to create the affiliation is add its name, and click the Save button, because all other fields are optional:
Sub-Affiliations, or Affiliations within Affiliations
In Genius, it is very easy to create a sub-affiliation. In the example above, we created an affiliation called Test Sub-Affiliation. We can now follow the same steps to create a sub-affiliation under this Test Affiliation by clicking on the Add Affiliation button on the sidebar under the Affiliations tab. The Affiliation Profile information page appears:
To create a sub-affiliation, make sure to click on the Parent Affiliation field in the Affiliation's profile page. You can then select a parent affiliation amongst all the affiliations you have already created in your organization for this grouping you are creating. This list will show all the affiliations and sub-affiliations available for you to select, allowing you to create sub-sub-affiliations (or deeper) using the same interface used to create an affiliation in the first place.
When you create a sub-affiliation, the level of this sub-affiliation is shown under the affiliation's Profile page. We define a new affiliation called Test Sub-Affiliation that will sit under the Test Affiliation we created earlier by adding this name and making sure that the Parent Affiliation is set to "Test Affiliation", and then clicking the 'Save' button:
To see the level that an affiliation is under, click on Edit Information on the sidebar that appears when you are in the Affiliation's Profile Page. To learn more about the Affiliation’s Profile Page, please review Managing Affiliations[link: managing affiliations] The Affiliation Level field appears on the top right-hand part of the screen:
As you change the Parent Affiliation, the Affiliation Level of the object you are editing will also update automatically. You can “nest” an unlimited number of affiliations in Genius – this means that you can have an unlimited number of affiliations within affiliations in the system.
Blackboard Learner and Instructor Roles?
When you were creating the Affiliation, you may have seen that the profile page for Affiliations in Genius includes a space for you to add “Blackboard Learner” and “Blackboard Instructor” roles:
If you see this in your instance of Genius as an Administrator, this means that your system is integrated with a Blackboard LMS. We have created an article that explains what these roles are and what they can do for you under Blackboard User Roles and Genius Affiliations[link: Bb User Roles and Genius Affiliations]. You do not have to add anything to these fields for Affiliations to help you manage your learning initiative.

Affiliations are a key part of how to use Genius. Read on to learn about how to manage affiliations, how to add learners to an affiliation, and finally, how to add a Manager to an affiliation. The Manager role is key, as it allows you, the Administrator, to delegate some responsibilities (such as approvals and enrollments) to another person in your learning initiative.
