Q1. Canvas - What ID does Genius use to copy course content into new course shells in Canvas?
- Genius will use the ID that is assigned to the corresponding "Blueprint" course in Canvas. Locate the desired blueprint course in Canvas and copy the ID.
- Next, locate the matching "Course" in Genius and place the ID in the field labeled "LMS ID". This will let Genius know where to find and copy the course content to any section created for that course in Canvas.
Q2. Canvas - Do I have to use the blueprint course feature?
- No, however, Genius will not be able to copy the course content automatically. If your course is already built in Canvas and it is not a blueprint course, you will need to enter the correct course ID into Genius for the enrollments to sync to Canvas.
Q3. Canvas - What does Canvas use to validate a user with Genius?
- Canvas validates by username from Genius to see if a user already exists. If the username is already in use, Genius will (not) create the new account or create a duplicate account for the existing user.
Q4. Canvas - Does Genius create guardian accounts in Canvas?
- Yes, Genius creates the guardian account in Canvas as an observer.
Q5. Canvas - I created a guardian in Genius but they are not showing in Canvas?
- A common cause would be, Genius only creates the observer account in Canvas when a student is enrolled into a course. The guardian account should appear as an observer once a student has an enrollment.
Q6. Edgenuity - What ID do I use to map courses to Genius from Edgenuity?
- There is a field in Edgenuity called “Master Build ID”. This field is mapped to the Genius "Course" LMS ID. Locate the desired course in Edgenuity and copy the Master Build ID.
- Next, locate the matching course in Genius and place the ID in the field labeled "LMS ID".
Q7. Edgenuity - What ID do I use to map sections to Genius from Edgenuity?
- Important- Genius can not sync enrollments without this ID. There is a field in Edgenuity called “School Build ID”. This field is mapped to the Genius "Section" LMS ID. Locate the desired course in Edgenuity and copy the School Build ID.
- Next, locate the matching section in Genius and place the ID in the field labeled "LMS ID".
Q8. Buzz - What ID does Genius use to copy course content into new course shells in Buzz?
- Genius will use the ID that is assigned to the corresponding "Master ID" course in Buzz. Locate the desired "Course" in Buzz and copy the Master Course ID.
- Next, locate the matching course in Genius and place the ID in the field labeled "LMS ID". This will let Genius know where to find and copy the course content to any section created for that course in Buzz.
Create Accounts and Assign Roles
Q1. How do I assign roles in Genius?
- Go to the Administration tab, find users, enter the user's name or email address, click get data.
- Search for the user that you wish to assign a role and click the edit/pencil icon under the "view" column. Select the desired role in the dropdown list labeled "Role" and click save.
Q2. Is the guardian account automatically created when submitting an application via the create new account on the landing page?
- Yes, if you provide the guardian information on the application form Genius will automatically create the student and guardian account once the application is accepted.
Q3. I have created a new affiliation user, but they cannot see any students.
- Genius uses roles to limit or grant user access to data associated within affiliations. After creating a new user, you need to assign the appropriate role and then associate the user to the proper affiliation in which they have permissions to see data within the chosen affiliation.
Q4. If an account is created but is not enrolled into a course, are they charged?
- At this time if an account is created but is not enrolled into a course, they will not be charged, unless your contract states otherwise. Always, check your agreement to be certain.
Q5. During the course request process, how can I adjust the settings to allow the user to choose a start date and end date, or make the start and end date the same for all users?
- Go to Administration, then to LMS Terms. Here you can configure the term to be either open enrollment (so each student can select a start date) or have specific dates (so that everyone has the same start/end dates).
Enroll Students and Request Courses
Q1. Can a student request a course themselves once logged into Genius?
- Yes, if allowed by the school administrator, a student can request courses from the student dashboard.
Q2. I am a registrar, can I enroll students into courses?
- Yes, if allowed by your school administrator. A registrar can either enroll students into courses or submit course requests for the student, pending approval and availability.
Q3. How do I drop a student from a course in Genius?
- Choose the student that you wish to submit a drop request for, and you will be directed to the student main page.
- Click on "Drop Requests" under the Enrollments section on the left side navigation menu. Then choose "Request new drop", select your course and choose "WAITING_REVIEW". Your drop request will now be pending approval.
Q4. How do I "Reinstate" a student if they were "Dropped" from a course in Genius?
- In the upper right corner, enter the name of the student you wish to drop in the search field and choose the student.
- Once you are on the student main page, locate "Actions" listed in the left navigation panel and choose "Reinstate". This will show any courses that have been dropped for the student. Click the checkbox next to the course/enrollment to be reinstated.
- Click the reinstate button and the student will be placed back into the section/class.

Courses and Sections Setup

Next you will locate the matching course in Genius and place the ID in the field labeled "LMS ID". This will let Genius know where to find and copy the course content to any section created for that course.
Q2. I have created a course in Genius but cannot enroll any students.
- You must create at least one section for any course to enroll students within Genius.
Q3. I have created a new affiliation user, but they cannot see any students.
- Genius uses roles to limit or grant user access to data associated within affiliations. After creating a new user, you need to assign the appropriate role and then associate the user to the proper affiliation in which they have permissions to see data within the chosen affiliation.
Q4. Where in the Genius structure are start and end dates set, and what happens if the start and end date is left blank?
- Start dates and End dates are set at the section level. If the Start date and End are left blank (for rolling enrollments) Genius calculates the End date based on the number of weeks set at the section level.
Q5. What should I do after I'm finished with this year's section?
- Normally, you should archive a section after it's finished. This should keep students from seeing anything from the previous year when they log back in to request new courses or enrollments.
Genius Emails
Q1. What are Auto Emails?
- Auto Emails are templates designed to send specific information to the learner. The information can also be customized by the Genius Administrator. Remember not to confuse auto emails with scheduled "recurring" emails setup for students and or courses.
Q2. How do Auto Emails work? Auto Emails are “Event Triggered," which means:
- Genius knows when certain Events happen, such as a new user being enrolled into a course. This would be considered an “Event Trigger” or “Triggered Event”.
- Genius will Automatically send an email to the learner based on that event, such as a welcome message, course instructions, or an online use agreement.
- The email template can be customized to contain any information specified by the system administrator.
- Using the example provided you can see how targeted information would benefit the learner. Users would get information as soon as they were enrolled into a course.
Q3. What are common events in Genius for Auto Emails? Some common events for Auto Emails are:
- New User Creation
- Password Reset
- Course Registration
- Course Completion or Dropping a Course
Q4. How do I edit an Auto Email in Genius?
- Locate the template inside the Administration menu under templates.
- Click the edit icon “Pencil-Paper” under the View Column
- Make your edits and click Save.
Q5. How can I find out if a student received a certain email? Can I also see if a certain email was received by multiple students?
- You can go to any student's page and click view communications to see all the emails that were sent to that student.
- If you want to make sure that a certain email was received by a group of students, you can go to Reports, then View List (under Communications) and then use the “Containing Text” field to see all emails that have that particular text (as well as who received them). For instance, if your email has the text “Welcome to Our School!” you could search for that text and find everyone who has received that email.
Genius Reports
Q1. Can I build custom reports in Genius?
- Yes, go to your reports tab and click on "Report Builder".
- The report builder lets you choose fields to include in your report related to students, enrollments, courses, and teachers. You can then add additional filters such as (and) contains, is equal, not equal, etc.
Q2. Can I write my own custom SQL queries in Genius for reporting?
- Yes, go to your reports tab and click on "Query Builder".
- The query builder lets you write SQL queries as needed to pull stored information from the Genius databases. You can also request custom queries if needed.
Q3. Can I save my queries to be run on demand when I need them?
- Yes, once you have saved your query, go to your reports tab and click on "Run Report".
- Then you may select any query that has been saved. Genius also allows a saved report or query to be accessed by other Genius users based on their role within Genius.
Q4. Can I create a custom report that pulls a list of students based on grade, progress, or other course related information?
- Yes, Genius has a robust data system that lets you easily identify students' grades, progress, and course completions, as well as many other items that are stored within the databases.
Q5. If I create a custom report, can I place it on my dashboard?
- Yes, Genius allows you to customize your dashboard. If you create and save a custom report, go to your dashboard and click the gears icon in the upper right corner. This will allow you to choose what items appear on your dashboard.
- Locate the saved query and click on the item to be shown on your dashboard.
- Save your changes and the report will show on your dashboard once you are logged into Genius.
